Legal Finance Assistant
Adams & Martin Group has partnered with a well-established West Los Angeles law firm with practices in corporate, real estate, entertainment, and litigation to find a highly motivated, detail-oriented, and enthusiastic Finance Assistant to join its team.
Responsibilities
Billing & Accounts Receivable Support
- Assist with reviewing, revising, finalizing, and distributing client invoices.
- Prepare and send accounts receivable follow-up communications and support collection efforts.
- Maintain weekly AR reports and provide updates on collection activity.
- Update payment notes and client account records within the billing system.
- Enter attorney and contractor time entries as needed.
- Review trust and advance account balances and assist with account reconciliations.
- Monitor the accounting inbox and respond to billing and accounting-related inquiries.
- Assist with maintaining client and attorney billing rate schedules.
Conflicts & Client Intake Support (Backup)
- Conduct conflict checks prior to opening new matters or onboarding new clients.
- Prepare engagement letters, conflict waivers, and retainer invoices.
- Open new clients and matters in the firm's accounting and document management systems.
- Support client disengagement and file-closing procedures.
- Assist with client budget creation and maintenance.
- Track engagement letters, conflict waivers, and retainer requirements, providing regular status updates.
- Maintain accurate client and contact records within firm systems.
- Update client-specific billing rates in accordance with engagement agreements.
Qualifications
- 2-4 years of experience in a law firm, legal billing, accounting, finance, or related environment.
- Prior law firm experience strongly preferred.
- Proficiency with Microsoft Office Suite, Outlook, Excel, Word, and Adobe Acrobat.
- Excellent attention to detail and organizational skills.
- Strong written and verbal communication abilities.
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
- Analytical problem-solving skills and a proactive approach to work.
- Professional demeanor with a collaborative, team-oriented mindset.
- Reliable, resourceful, and able to work independently when needed.
Compensation & Benefits
- Salary: $60,000-$75,000 DOE
- Full benefits package including medical, dental, vision, 401(k), life insurance, disability coverage, paid sick time, and vacation
- Employer-paid parking
Schedule
- Full-time, 40 hours per week
- Fully onsite during training
- Hybrid schedule available after training, with 2 days per week in the office
